The Kaospilot 5E Model Template is a step-by-step framework designed to help you create meaningful experiences, whether you're designing services, events, or learning journeys. Grounded in proven methodologies, it enables you to orchestrate impactful moments that leave a lasting impression.

This template provides tools to align your team, foster collaboration, and navigate experience design with clarity. By focusing on the emotional journey and meaningful outcomes, the 5E Model ensures your experience design is intentional, customer-focused, and impactful every time!

This template is perfect for:

  • Facilitators and leaders seeking to design impactful events, workshops, or gatherings.

  • Educators and trainers who want to create memorable learning experiences, training, or facilitated journeys.

  • Experience designers looking to craft transformational moments for their audiences.

  • Teams and organizations aiming to align around a shared vision or goal for how you create value.

Whether you’re new to experience design or an experienced practitioner, this template provides a structured yet flexible approach to elevate your work.

Using the 5E Model, you can: ✅ Define Meaningful Outcomes that guide your design decisions. ✅ Map the emotional journey participants will experience. ✅ Customize the structure to fit your unique context. ✅ Align teams around a shared experience vision and approach to implementation. ✅ Design holistic and impactful experiences with the confidence of 30+ years of method iteration and development.

1. Define Meaningful Outcomes

Start by identifying the top 3 meaningful outcomes you want your experience to create. We don’t need to reinvent the wheel when it comes to creating meaningful experiences. Science provides insights into outcomes perceived as meaningful. For example:

  • 🌟 Flow: Encourage fluid, full presence in the experience.

  • ☀️ Purpose: Foster a sense of belonging to a greater cause.

  • 🤝 Positive Relationships: Enable generative and meaningful interactions.

2. Design the Emotional Journey

For each phase of the 5E Model — Excitement, Entry, Engagement, Exit, and Extension — think about the emotions participants should feel. Write specific statements like:

  • “I feel honored and curious.”

  • “I feel inspired and excited to engage.”

3. Customize the Journey Map

Add layers relevant to your experience, such as:

  • Challenges and opportunities.

  • Key tasks or activities at each phase.

  • Resources and team members involved.

Use this process as a tool to plan, test, and evolve your design iteratively.

Experience design is about intentionally orchestrating interactions to achieve desired outcomes. To quote our friend Mat Duerden: ”Experience design is the process of intentionally orchestrating experience elements to provide opportunities for participants to co-create and sustain interactions that lead to results desired by the participant and the designer.” It is about framing experiences with the aim of changing the way people, ❤️ feel, 🗣think, and ✋🏼 act.

By mastering experience design, you can:

  • Enhance engagement in both online and offline spaces.

  • Consistently create contexts for personal and relational growth.

  • Lead with confidence as a facilitator and designer.

  • Start with the end in mind: Focus on the outcomes you wish to achieve.

  • Make emotions specific: Instead of generic feelings like “happy,” choose emotions that directly inform design decisions.

  • Iterate and refine: Use the journey map as a dynamic tool to test and evolve your design.

  • Leverage proven frameworks: Tap into research from experts like Larry Keeley and Nathan Shedroff to ground your design in evidence-based practices.
